Open Clinic
Terms of Service
These terms cover two things: using this website, and the service we provide to a clinic. Where a clinic has signed an Order Form with us, that Order Form and its Data Processing Agreement come first — these terms fill the gaps, they do not override what was signed.
1. Using this website
The site is informational. Prices shown are indicative and current at the date above; the price that binds is the one on a signed Order Form. Nothing here is an offer capable of acceptance, and nothing here is medical advice.
2. What the service is
We build and run messaging automation for a clinic: answering missed calls and enquiries over WhatsApp, confirming and reminding about appointments, filling cancellations from a waitlist, recall, review requests, aftercare instructions, and a daily summary for the owner. Exactly which of these a clinic gets is set out in their Order Form.
The automation runs on our infrastructure and writes into the clinic's own Google account. The clinic's patient records remain theirs throughout.
3. What the service is not
It does not practise medicine. The system never diagnoses, never gives clinical advice, and never reassures a patient about a symptom. Where a patient describes something that may be a complication, the automation stops and hands the conversation to a named human clinician at the clinic, and tells the patient that is what happened.
Clinical responsibility rests entirely with the clinic and its practitioners. We do not carry professional indemnity for clinical outcomes, and no part of this service should be read as us assuming any.
4. What the clinic is responsible for
- The accuracy of what they give us — hours, providers, services, prices, policy, and their patient list.
- Having a lawful basis to message their own patients, and honouring opt-outs. Our system enforces opt-outs technically; the legal basis for contacting anyone in the first place is the clinic's.
- A named clinician with a phone who has personally agreed to answer an escalation, where aftercare is switched on. Aftercare does not run without one.
- Their own accounts: the Meta Business account that owns their WhatsApp number, and the Google account that owns their calendars and spreadsheet.
- Marking attendance, which is the one thing the system needs from a human.
5. Costs billed by others
WhatsApp conversation charges are billed by Meta directly to the clinic's own account, not by us — expect roughly $10–25 a month for a typical clinic. Advertising spend, and any telephony or Google charges on the clinic's own accounts, are likewise theirs. We estimate these during onboarding so the first invoice is not a surprise, but we do not control them.
6. Fees
A one-off setup fee and a monthly fee, both as stated on the Order Form. Setup is invoiced on signature. The first monthly invoice is dated the day the system goes live, not the day the Order Form is signed — if go-live slips, the monthly fee does not start. Any minimum term is stated on the Order Form itself.
7. Availability
We do not promise uninterrupted service. The system depends on Meta, Google and our hosting provider, and any of them can have an outage we cannot prevent. What we do promise is that failures are visible rather than silent: a message that could not be sent is logged with the reason, and the daily digest reports real numbers whether they flatter us or not.
8. Stopping
A clinic can have any part of the system switched off within a minute of asking — one product or all of them. Notice periods and any minimum term are on the Order Form. On termination we hand over or delete what we hold, at the clinic's choice, and confirm in writing. Their Google account and their WhatsApp number are theirs and stay with them; we simply lose access.
9. Confidentiality and data
We treat everything we see about a clinic and its patients as confidential. How personal data is handled is set out in our Privacy Policy and, for clinics, in the Data Processing Agreement annexed to their Order Form. Where those documents and these terms disagree about personal data, those documents win.
10. Liability
Nothing here limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, our total liability in any twelve-month period is limited to the fees paid by the clinic in that period, and we are not liable for lost profits or lost business.
11. Changes
We may update these terms. The date at the top changes when we do. For a clinic with a signed Order Form, a change that materially affects the service is told to them directly, not left on this page to be discovered.
12. Law
These terms are governed by the law of the Arab Republic of Egypt, and its courts have jurisdiction — unless a signed Order Form says otherwise, in which case it does.

These terms describe what our service actually does and does not do, which is the part a template cannot do. They have not been reviewed by an Egyptian lawyer.
